Use one handoff note per vehicle
Keep the note with the vehicle unit number rather than in separate driver text threads. Record the outgoing and incoming driver, date, odometer reading, fuel or charge level, and where the keys are. Note equipment or paperwork being transferred. Let the incoming driver review the entry before taking the vehicle.
Describe changes without guessing the repair
Record the exact dashboard message, when a concern appeared and whether it has already been reported. A useful entry says ‘new vibration reported during today’s route; coordinator notified at 2 PM’ instead of ‘needs tires.’ Add a photo when parked if it helps explain visible damage. Do not ask drivers to recreate a concerning symptom. A handoff checklist does not establish that a vehicle is safe to operate.
What makes a driver handoff useful?
Give every open concern an owner
Assign one coordinator to contact the shop and tell the next driver what to do. Mark concerns as reported, awaiting assessment or addressed, with a date and reference. Keep unresolved concerns visible across shifts. After service, attach the repair record and follow-up instructions so the same concern is not repeatedly reported without context.
