List the work that still needs coverage

When a vehicle goes out of service, list the deliveries, appointments or routes affected. Identify work that can move, work another available vehicle can handle and customers who need an update. Confirm that a substitute vehicle suits the task. Name the person coordinating coverage so employees do not make conflicting arrangements.

Prepare one clear shop handoff

Give the shop the vehicle identifier, reported concern, prior related work and the best contact for questions. State your preferred completion window as a request, then ask when to expect the next assessment or update. Identify who can review estimates and who will arrange pickup. Keep shop messages and scheduling decisions together in the vehicle record.

When should a coordinator promise the vehicle’s return to a route?

Update the plan as facts change

Use simple statuses such as awaiting assessment, awaiting approval, work underway and ready for pickup. Record the last confirmed update and the next follow-up time. A completion estimate can change after testing or parts checks. Avoid promising a return to the route before the shop confirms readiness. At pickup, review completed work, unresolved concerns and follow-up instructions, then update the driver.
