Capture the exact vehicle
Record unit number, VIN or plate, mileage, driver and location so the shop opens the correct vehicle record.
Describe the symptom, not a guessed repair
State what happened, warning lights, noises and whether the vehicle still moves. That is more useful than requesting a part before diagnosis.
Set an approval contact and limit
Identify who can approve routine work, who handles larger repairs and how purchase-order numbers should be recorded.
Plan the next maintenance item while the unit is already down
If another service will be due soon, review whether it makes sense to complete it during the same downtime instead of scheduling another interruption.
